Staffing a rental you do not own: the question everyone skips

Can you hire household staff for a luxury rental in Los Angeles? Direct hire versus service company, lease clauses, certificates of insurance and what happens at lease end.

Yes, you can staff a luxury rental in Los Angeles, but the question that decides everything is who employs the staff. If you hire people directly, you take on employer obligations. If you contract a service, the service carries them. In a rental that distinction matters more than it does in a home you own, because the person living in the property is often not the person paying for the staff, and the property itself may change hands or occupants on short notice.

Who is the employer: you, the owner, or a company?

There are three workable arrangements, and they behave very differently when something goes wrong.

Direct hire Through a service company Through the owner or building
Who employs You, as a household employer The company The owner or the HOA
Payroll, taxes, insurance Yours to handle Handled by the company Not yours
Cover when someone is out You find it Built in Depends on the contract
Background checks and NDAs You arrange them Standard before placement Ask to see them
Ends when the lease ends No, the employment continues Yes, with notice Yes
Best for Long tenancies, live-in roles Most rentals, any length Full-service buildings

The arrangement that surprises people is the first one. A direct hire does not end because a lease ends. If you employ a housekeeper for a twelve-month tenancy and then leave Los Angeles, you have an employment relationship to close properly, not a service to cancel. Household employment in California carries real obligations around payroll, workers’ compensation and recordkeeping, and the specifics are worth confirming with a payroll provider or an employment attorney before you hire anyone. That is not a formality, and it is the single most common thing tenants of luxury rentals get wrong.

What does a rental actually need staffed?

Less than most people assume, and in a different shape. Owned estates build staffing around permanence: someone who knows where everything is and has known it for years. A rental cannot rely on that, so it should be built around documented routine instead of institutional memory.

In practice, most furnished luxury rentals in Los Angeles run well on:

    • Scheduled housekeeping on a fixed rhythm, with a written scope so the standard does not drift.
    • A single point of contact who coordinates vendors and access, rather than a full house manager on site.
    • Pre-arrival and post-departure service, which in a rental replaces the deep-clean cycle an owner would schedule seasonally.
    • Ad-hoc support for events, which is where rentals actually differ from owned homes: entertaining in a house you do not own has different tolerances for risk.

What most rentals do not need is live-in staff. It complicates the lease, the insurance and the exit, and it rarely buys anything a scheduled team does not already cover.

    What does the lease say?

Read it before you hire. Luxury leases in Los Angeles regularly contain clauses that touch staffing directly, and tenants find them after the fact:

    • Access and keys. Some leases restrict who may hold credentials to the property, which matters if your housekeeper needs to arrive before you do.
    • Vendor approval. Gated communities and some owners require vendors to be registered, insured and listed in advance.
    • Certificates of insurance. Buildings and HOAs commonly require a certificate naming the building as additional insured before a vendor can work on site. A direct hire usually cannot produce one; a company can.
    • Alterations and specialty care. Marble, hardwood and stone care is often specified in the lease, because the owner is protecting a finish they will get back.

That last point is worth taking seriously. Damage to a stone floor or a wood finish during a tenancy comes out of a deposit, and the cause is almost always a product that should not have been used. Our guide to caring for high-end finishes covers what safely touches what.

Who manages the staff day to day?

Somebody has to, and in a rental it is usually one of three people: the tenant, the owner’s representative, or a service company. The arrangement that fails is the one where it is assumed to be shared.

If you are weighing whether to bring in a house manager at all, the honest test is volume. A single residence with scheduled cleaning and occasional vendors does not need one. A property with multiple weekly vendors, regular entertaining, and staff coverage to arrange does. We set out what the role actually does in our guide to hiring a house manager for a luxury estate, and the broader picture of household staffing in household staff hiring and management.

Vetting: what to insist on, whoever employs them

    1. Background check on file, current, and available to see.
    2. Signed NDA. In Los Angeles this is standard in high-profile properties and should not require negotiation.
    3. Bonding and liability insurance, with a certificate you can hand to a building or an owner.
    4. Named team, not a rotating pool. Continuity is what makes a property safe to leave open.
    5. A written scope. Verbal standards do not survive staff changes.

What continuity actually requires operationally is covered in our note on dedicated cleaning teams.

How FJ Luxury Services handles rentals

FJ Luxury Services staffs luxury rentals across Beverly Hills, Bel-Air, Brentwood, Pacific Palisades, Hollywood Hills, Malibu, West Hollywood, Century City and the surrounding communities. We are the employer of record for our teams, which means the payroll, insurance, bonding, background checks and NDAs sit with us, and you can hand a building or an owner a certificate of insurance without arranging anything yourself.

We work on written scopes, assign a consistent team rather than rotating staff, and structure engagements so they can end with the tenancy. Request a free estimate and tell us the property, the lease term and how you use the house; we will propose the smallest arrangement that actually covers it.

    Frequently asked questions

Can a tenant hire household staff for a luxury rental in Los Angeles?

Yes. The practical choice is between hiring directly, which makes you a household employer with payroll and insurance obligations, and contracting a service company, which carries those obligations itself and ends cleanly with the tenancy.

Does the lease affect who can work in the property?

Often. Luxury leases and gated communities commonly restrict who may hold keys, require vendors to be approved in advance, and require a certificate of insurance naming the building or owner as additional insured before any vendor works on site.

Do luxury rentals need live-in staff?

Rarely. Live-in arrangements complicate the lease, the insurance and the exit. Most furnished luxury rentals run well on scheduled housekeeping, a single coordination contact and pre-arrival service.

Who is responsible if staff damage the property?

It depends on who employs them. With a direct hire the exposure generally sits with the employer; with a bonded and insured service company it sits with the company. This is the main reason owners prefer vendors who can produce a certificate of insurance.

What happens to staff when the lease ends?

A contracted service ends with notice. A direct hire is an employment relationship that has to be closed properly regardless of the lease, which is the part tenants most often overlook.

Does FJ Luxury Services provide certificates of insurance?

Yes. Our teams are insured, bonded, background-checked and under NDA, and we provide certificates of insurance for buildings, HOAs and owners on request.
