Calabasas is not a gated city, but several of its neighborhoods are. The Oaks is the best known, and Hidden Hills next door is a gated city in its own right. For a homeowner, living behind a gate means every housekeeper, gardener and contractor has to be cleared in advance, many HOAs want insurance paperwork on file, and vendor hours and parking follow community rules. This guide explains how that works in practice and how large homes in these communities are kept up. For regular service, see our page on house cleaning in Calabasas.

    Is Calabasas a gated community?

No. Calabasas is an incorporated city, established in 1991, in the foothills of the Santa Monica Mountains along the 101. Most of its streets are open. Some residential communities within it, however, sit behind guard gates, The Oaks among them, and those are what people usually mean by “Calabasas gated communities”. Hidden Hills, on the city’s northern edge, is a separate city that is gated as a whole.

The homes inside these communities tend to be large, often Mediterranean in style, with big kitchens, several wings, guest suites and outdoor rooms. That size, plus the gate, is what shapes how they are run.

How do housekeepers and vendors get through the gate?

Through a list kept at the gate. The exact process varies by community, but it generally looks like this:

    • The homeowner or house manager registers the vendor or adds names to a guest list, either permanently or for a specific day.
    • At the gate, the guard checks the name, company or vehicle against that list and may ask for ID.
    • If a name is missing, the guard calls the house, and if nobody answers, the vendor waits or leaves.

That last point is the usual cause of missed visits. A permanent vendor registration for a regular cleaning team avoids it. Our guide to cleaning in gated communities covers the three levels of gated access found across Los Angeles.

What do HOAs usually require from vendors?

Paperwork and rules about timing. Requirements differ from one HOA to the next, so always check with your management company, but these come up often:

Requirement What it means for your vendors
Certificate of insurance The vendor’s insurer issues a certificate, sometimes naming the HOA as additional insured
Vendor hours Work allowed only within set hours and days
Vehicle and parking rules Where crew vehicles can park, and sometimes a vehicle pass
Registration Company and staff names on file before the first visit
Noise and equipment Limits on loud equipment at certain times

FJ Luxury Services provides certificates of insurance on request and handles vendor registration during onboarding, so the homeowner is not left negotiating with the HOA.

How are large homes in gated communities kept up week to week?

With a crew sized to the house and the same team each time. A 10,000 square foot home cannot be cleaned properly by one or two people in a day. For homes over 10,000 square feet, we send a 3 to 5 person crew so the whole house is finished in a single visit.

Home How the visit is planned
Up to about 5,000 sq ft Team sized at the walkthrough, one visit
5,000 to 10,000 sq ft Larger team, rooms divided by wing so nothing is missed or done twice
Over 10,000 sq ft 3 to 5 person crew, completed in a single visit
Estate with guest house or pool house Main house and outbuildings scheduled together, same team

A single gate entry for the whole crew also saves time at the guardhouse, which adds up over a year of weekly visits. More on this in our guide to cleaning a large luxury home.

What upkeep does the inland climate add?

More dust, and more attention outdoors. Calabasas summers are hotter and drier than on the coast, and Santa Ana wind days blow dust off the surrounding hills onto patios, glass and window tracks. Homes with large sliding doors and outdoor rooms feel it most. The 2018 Woolsey Fire also brought evacuation orders to Calabasas, a reminder that smoke and ash cleanup is part of life here.

    • After a windy spell, plan an extra pass on exterior-facing glass, sliders and outdoor furniture.
    • After smoke or ash, use HEPA vacuuming and damp wiping, not dry sweeping. See our wildfire smoke cleanup guide.
    • Hard-water spotting on glass shower enclosures and fixtures is a common complaint in Los Angeles homes. Wiping them dry after cleaning keeps it under control.
    • Stone floors and counters need pH-neutral products, because acidic cleaners etch marble and travertine. See our guide to cleaning marble and natural stone.

What should homeowners set up so vendors get in smoothly?

A few details sorted once save repeated calls from the gate:

    • Permanent gate registration for regular vendors, with the names of the assigned team.
    • The HOA’s insurance requirements sent to each vendor before the first visit.
    • Alarm and entry instructions, plus someone to call if the gate or door does not open.
    • Notes on pets, rooms that are off-limits and pieces that should not be moved.
    • A clear answer on whether the guest house, pool house and outdoor areas are part of the visit.

How do second homes and absent owners work behind a gate?

With standing instructions at the gate and one person accountable for the house. When the owner is away for weeks, the gate list still has to be kept current: the regular housekeeper, the gardener and pool service, plus one-off visits such as a repair or a delivery that needs someone to receive it. If nobody updates the list, vendors get turned away, or worse, someone is let in who should not be.

    • Keep regular vendors on permanent registration and review the list every season.
    • Name one contact the guards can call for anything not on the list.
    • Schedule inspections while the home is empty, looking for leaks, pests, power and irrigation.
    • Plan a full clean and restock before the family comes back.

Under our house management service, FJ Luxury Services acts as that contact, and the house opens and closes on a written protocol rather than from memory.

When does a gated-community home need house management?

When the gate list becomes a job in itself. A home with gardeners, pool service, a housekeeper, deliveries and occasional contractors can have a dozen names moving through the gate every month, each needing registration, access and follow-up. If the owner travels or keeps the home as a second residence, someone has to manage that. Under our house management service, FJ Luxury Services coordinates vendors, access, inspections and deliveries as well as the cleaning. Our guide to what an estate manager in Los Angeles covers explains the scope.

How does FJ Luxury Services work inside Calabasas gated communities?

We sort out access before the first visit: certificate of insurance to the HOA on request, team names for the gate list, and arrival windows that fit the community’s vendor hours. Our teams are insured, bonded and background-checked, sign NDAs, and come as the same assigned team each time. It starts with a complimentary walkthrough, followed by a written quote within 24 hours, Monday through Saturday.

For recurring service, scope and coverage across The Oaks, Mountain View Estates, Saratoga Hills and the rest of the city, see house cleaning in Calabasas. Next door? Read our Hidden Hills house cleaning guide.

    Frequently asked questions

    Is Calabasas a gated community?

No. Calabasas is an incorporated city with mostly open streets. Some communities within it, such as The Oaks, are guard-gated, and neighboring Hidden Hills is a separate gated city.

Do cleaners need to be on the gate list?

Yes, in guard-gated communities. The homeowner or house manager registers the company or adds names to a guest list. A permanent registration for a regular team prevents missed visits.

Why does my HOA ask vendors for a certificate of insurance?

It shows the vendor carries liability coverage while working in the community. Some HOAs ask to be named as additional insured. FJ Luxury Services provides certificates on request.

Can a 10,000 square foot home be cleaned in one visit?

Yes, with a large enough crew. For homes over 10,000 square feet, FJ Luxury Services sends a 3 to 5 person crew so the whole house is finished in a single visit.

Who coordinates vendors when the owner is away?

A house manager or house management service. FJ Luxury Services coordinates vendors, gate access, inspections and deliveries while the owner travels.

Are vendor hours restricted inside gated communities?

Often, yes. Many HOAs set the hours and days when vendors may work. Check with your management company, and we schedule arrival windows within those hours.
